When planning a wedding, it’s important to have a team behind you who is familiar with the local policies and who has strong relationships with the local vendors, venues and town departments. Vail, Colorado has many beautiful wedding venues to choose from, spanning all budgets and styles. And, just as each of these venues boasts a unique experience, they each have their own vendor guidelines and protocols that are very important to take into account to avoid hefty after hours fees or last minute snafus. From hotels, to town run properties to Vail Resorts owned spaces these are the questions to ask BEFORE signing the dotted line:
Does the venue have any pre-existing contracts with specific vendors?
At some Vail venues, items such as on-site tents come “included” with the space but are not actually owned by the venue. What this means is that the venue has an “exclusive” agreement with a specific vendor who supplies this equipment by demand. In these cases, it’s important to know your options. Many rental companies (like ourselves) won’t provide services within a tent unless it is our own. Be sure to ask the venue if you are able to use a different company other than the one that is “exclusive” if you are interested in exploring your options. If not, finding vendors to add extra design elements like draping, specialty lighting, etc. may be hard to find!
Because vendors like party rental companies must take into account complicated truck routing, timing constraints, traffic, construction and possibly even weather delays, negotiating vendor flexibility is key! If small, specific windows are required by a venue, then it’s important to keep in mind that additional vendor fees will most likely need to be budgeted for! This goes for any “after hours” requirements, too.
It’s important to know what you are responsible for providing! Does your venue contract include anything other than just rental of the space? If so, what? If you aren’t in love with the items that are included, are you able to rent something you like better from an outside vendor? If yes, are there any special instructions that you need to know? For example, some venues require that outside table and chair legs come outfitted with felt padding to protect the venue’s flooring.
